Your membership and attendance information

Before you submit

Check-in records your name, service date, visitor or joining choice, and the number of accompanying children under 13. These records may reveal religious beliefs. Children under 13 are counted without names in this form. A child's count is attached to the accompanying person's check-in; it is not a fully anonymous record.

If you ask to join, the form requires your first name, surname, age range, gender and contact number. Email address is optional. If you need help or cannot supply a detail, speak to a church leader. Do not enter health, safeguarding or confidential pastoral information.

How records are used

Church leaders use records to manage membership enquiries, attendance, attendance follow-up and church reporting. Contact details supplied for joining are for membership follow-up, not marketing. Visitors and people joining may optionally provide an email address. We use it to send a branded welcome letter as a PDF attachment. The church email provider processes the recipient address and letter to send it; a delivery queue records the sending status. A missing check-in does not prove that someone was absent.

Prayer requests

Optional prayer requests are submitted separately and shared with authorised readers, editors and admins. The prayer record stores only the request text and a random submission identifier, without your name, email, member ID or service date. Do not include identifying details in your text. Prayer requests are not emailed or attached to attendance records. The hosting service may retain connection logs; this feature does not guarantee anonymity from the hosting provider.

Access and storage

Authorised accounts can view membership records. Accounts with editing permission can change them; administrators manage access. The site uses Sites hosting and a Cloudflare D1 database. The church is reviewing provider arrangements, storage locations and retention periods. Original church spreadsheets and local copies may also exist.

Questions and your rights

Email the privacy contact to ask about your information, request access or corrections, or raise a deletion, restriction or objection request. Which rights apply depends on the legal grounds and circumstances. We may need to verify identity before releasing records.

This page explains the current form and system. The church is confirming the lawful grounds for processing religious information, retention schedule and international-transfer arrangements. It is not a completed compliance notice. Contact the church before submitting if you need clarification.
